Information for Presenters

Conference Dates: April 23 through April 25, 2004
Staff will be available on-site starting around 8 PM on Thursday the 22nd

Logistics during Notacon

Registration will be open starting Thursday night at the front desk and will remain open for the remainder of the event. Artists, musicians and presenters should be ready with photo identification at the registration desk for quick registration. All presenters will be given a badge unique to presenters, artists and DJs. These badges are non-transferable and must be worn at all times. You or your group are also allowed to purchase one badge for one companion at the student rate ($30).

If, as a presenter, artist or musician, you have any problems or needs regarding your presentation or art showing, please make these needs known to a conference staff member and we will handle them as quickly as possible.

Unless prior arrangements have been made with the conference organizers, all costs of attending, including transportation, hotel accommodations and meals, remain those of the presenter, musician or artist.

Your time slot

You will be contacted via email before the event with your designated speaking or performing time slot. If for whatever reason this slot is not good for you, please let us know immediately! Likewise, if for whatever reason you find you will unable to attend and present, let us know so that we can line up an alternate presentation.

Finally, if you are interested in giving an additional presentation after our schedule has been finalized, please feel free to sign up for a talk slot in the impromptu/BoaF room

Recording

The audio portion of our technical presentations will be recorded, unless the presenter has asked us in advance not to record the presentation. The other tracks may or may not be recorded depending on our ability to record simultaneous talks. If you are speaking and do not wish for your presentation to be recorded, please let us know by April 16th.

Presenters are welcome to record their own audio or video of their presentations and the Notacon staff will do their best to assist presenters with this. However, the Notacon staff will not be held responsible if something goes wrong. You record your own presentation at your own risk.

The audio recordings made will be will be available free of charge after the presentation. These recordings will be available for public download on the Notacon website after the event.

For Artists

We are including a notice in our program that individuals should ask you first before taking any photos of or recording your work. If you do not have a problem with this, let us know via email (froggy -at- notacon dot org) and we'll let attendees know your preferences). We want to do our best to respect you and your art and prohibit any unauthorized reproductions of your work!

What we will provide for technical and artistic track presentations

The conference organizers plan on providing, at a minimum, the following A/V equipment. If something is needed for your presentation that is not included here, please plan on providing it yourself unless you have made prior arrangements. To make prior arrangements, contact Jim at "av -at- notacon.org".

What we will provide for impromptu and "birds of a feather" presentations

What we will not provide

If it isn't listed above, chances are we are not planning on providing it. Feel free to email us ahead of time, though, and we will do our best to accommodate. This implies that if you need a laptop or computer, you must provide your own.

"Extras"

Please remember that there will be many other exciting events taking place and encourage everyone to stay with us the weekend to join in the festivities. Games with prizes, contests, movies, live music, etc. will be available throughout the weekend at no additional charge. Perhaps the best "extra" will be opportunities to mingle with other attendees. Anyone into social networking and/or community building is encouraged to stay out of their hotel rooms! Likewise, discounts and coupons will be available for attractions in and around the Cleveland area. There will also be a con network so feel free to bring computers, demos, etc.
